Ultrasound and Echocardiography Coordinator
Reports to: Chief Medical Officer
Position Summary:
The Ultrasound and Echocardiography Coordinator oversees and performs diagnostic ultrasound and echocardiographic procedures while ensuring high-quality patient care and optimal scheduling efficiency. This role combines clinical expertise with coordination and administrative responsibilities to support a seamless imaging program and maintain compliance with regulatory standards.
Key Responsibilities:
Clinical Duties:
Perform diagnostic ultrasound and echocardiography exams according to physician orders and established protocols.
Operate and maintain ultrasound and echo equipment, ensuring readiness and proper calibration.
Provide clear, high-quality images and ensure proper documentation in the patient’s EMR.
Monitor patients during exams to ensure safety and comfort.
Communicate exam results and urgent findings to ordering providers as needed.
Contact Cardiologist for stat or urgent exams.
Coordination & Administrative Duties:
Coordinate scheduling for all ultrasound and echocardiography services across clinic locations.
Serve as the primary liaison between the imaging department and referring providers, radiologist and cardiologist..
Ensure timely and accurate exam coding and documentation.
Maintain inventory of supplies and troubleshoot equipment issues in coordination with vendors.
Support onboarding and training of new imaging staff or rotating students if applicable.
Monitor compliance with quality assurance, infection control, and regulatory standards (e.g., AIUM, ICAEL, OSHA, HIPAA).
Track and report on utilization, turnaround times, and patient throughput metrics.
Maintain equipment, troubleshoot any problems the providers or sonographers have with the equipment.
Contact GE and open a ticket if there is a need for repair.
Maintain the PACS equipment (Ultralinq) until we change over to Studycast.
Reset any user of Ultralinq if there is a sign in problem.
Add all new users to Ultralinq.
Remove all employees leaving CMC from the Ultralinq system.
Troubleshoot any problems with Ultralinq the radiologist or cardiologist may have.
Map all exams to Ultralinq to enable the measurements to populate into the report when a new ultrasound machine arrives and or if there is a software update to an existing machine.
Monitor all 10 servers for Ultralinq to be sure all are running correctly.
Clean the servers once a week.
Coordinate the preventative maintenance on all equipment.
Coordinate the training of employees when new equipment is purchased.
Contact IT and or Chad Holtzman with any mechanical problems with any of the x-ray equipment.
Leadership & Communication:
Lead regular communication with providers to review ordering patterns and ensure appropriate test utilization.
Provide patient education regarding imaging procedures.
Participate in departmental meetings and quality improvement initiatives.
Ensure providers put in their CME reimbursement papers so that they will be reimbursed.
Perform yearly evaluations on sonographers.
Be a liaison between sonographers and other personel as well as office managers in times of dispute.
Strong organizational, interpersonal, and communication skills
Be available by phone if a sonographer needs to call in or needs to change the schedule.
Ensure scheduling, office managers, Dr. Smith and all personnel are notified in the case of a sonographer’s illness where she can not come to work and her patient load must be rescheduled.
Ensure when sonographers call in that the time is placed in ADP.
Check time cards of all sonographers midmonth and at the end of the month for payroll.
Fix any problem with a sonographers time card if they have forgotten to clock in or out.
Qualifications:
Required:
ARDMS certification in diagnostic medical sonography for general ultrasound sonographers and RCS, RDCS certification for echocardiography sonographers.
Minimum 3 years of clinical experience in ultrasound and echo
Current BLS certification
Proficiency with imaging equipment, PACS and EMR systems.
Is able to fill out a preliminary report on the exam she or he just performed so that the radiologist or cardiologist can view how they interpreted the exam.
Strong organizational, interpersonal, and communication skills.
Is able to perform the exam independently.
Is self motivated.
Preferred:
Experience in a leadership or coordination role
Familiarity with outpatient clinic workflows
Bilingual (if relevant to patient population), if not bilingual is comfortable using a phone translator.
Work Environment & Physical Demands:
Requires frequent standing, walking, and use of diagnostic equipment.
May need to assist in patient transfers or positioning.
Fast-paced, clinical setting with patient-facing responsibilities.
